The short answer
A removals company can automate most of the work between an enquiry and a booked move: an instant, personal reply to every quote request, a link to book a home or video survey, a follow-up sequence for unanswered quotes, move-day reminders and a review request afterwards. The survey, the price and the move itself stay with your team.
Most firms start with instant quote replies and quote chasing, because that is where jobs are lost. A single workflow like this typically costs £750–£2,600 to build, with a fixed price agreed after a free automation audit.
Why removals firms lose jobs before the survey
Customers moving house usually ask several firms for a quote at once, often in the evening or at the weekend. They tend to go with the firm that replies first with a clear next step. If your office sees the enquiry on Monday morning, a competitor may already have booked the survey.
The same steps repeat for every enquiry:
- Read the enquiry from your website, email or a lead site.
- Reply, ask for missing details and offer a survey.
- Book the survey around your surveyor's diary.
- Send the quote.
- Chase the quote until the customer books or says no.
- Confirm the move, send packing information and arrival times.
- Ask for a review.
Every one of those steps can run on its own except the survey and the price.
What to automate, in order
1. Instant quote replies
AI reads each enquiry, whether it arrives through your website form, your inbox or a lead site, and pulls out the moving date, the addresses and the property size. It then writes a reply in your tone that thanks the customer, asks for anything missing and links to your survey booking page. You can approve each reply before it goes out until you trust it.
2. Survey booking
Instead of trading calls and emails, the customer picks a home or video survey slot from a booking page that reads your surveyor's calendar. Confirmations and a reminder the day before go out automatically, which cuts no-shows.
3. Quote follow-up
Many quotes are sent once and never chased. A short sequence of two or three emails, and optionally a text, follows up over about a week, then stops the moment the customer replies or books. Each message mentions their moving date, so it reads as personal rather than generic.
4. Move-day messages
Once a move is booked, the system sends the confirmation, a packing checklist, a reminder a few days before and the crew's arrival window on the day. Fewer customers ring the office asking what time the van is coming.
5. Reviews
The day after the move, the customer gets a short thank-you with a link to leave a Google review. A steady flow of recent reviews helps you show up in local search and on the map.
6. Job records without retyping
Every enquiry, survey, quote and booking is logged in your CRM or removals software, or in a Google Sheet if your software has no way to connect. Your team stops typing the same addresses into three systems.
What it costs
| What you automate | Typical build price | Monthly running cost |
|---|---|---|
| Instant quote replies and quote chasing | £750–£2,600 | Usually under £50 in tools and AI usage |
| Full enquiry-to-move workflow (replies, surveys, chasing, move-day messages, reviews) | £2,600–£6,000 | Usually under £100, plus optional support |
| AI receptionist for phone enquiries | £1,900–£6,000 | Call minutes, see our AI voice agent pricing |
These match our AI automation pricing guide. The final price depends on how many lead sources you have and whether your removals software can be connected.
Rules to keep in mind in the UK
- Replies and quote follow-ups about a move the customer asked you to price are service messages, sent because they enquired.
- Marketing sent later, such as offers or newsletters, falls under PECR. It usually needs the customer's consent, or the "soft opt-in" for people who booked, or asked you to quote for, a similar service and were offered an opt-out when you collected their details, and every message must offer a simple way to opt out.
- Personal data such as addresses and moving dates should be kept only as long as you need it, in systems you control, in line with UK GDPR.
This is a summary to help you plan, not legal advice. The ICO's guidance on electronic marketing explains the soft opt-in in full.
Where to start
- List your lead sources: website form, email, phone and each lead site you pay for.
- Write down your current reply: the email your best salesperson sends. The automation will start from it.
- Count unchased quotes: look at last month's quotes and how many never got a second message. That is usually the fastest win.
- Book a free automation audit: we map the process with you and give you a fixed price for the first workflow.
