The short answer
AI automation for a small business usually costs $999–$15,000 to build (about £750–£11,300, CA$1,370–CA$20,500 or AED 3,670–55,000), plus $0–$1,200 a month to run and maintain. A single workflow, like sending every new lead to your CRM and replying within a minute, sits at the low end. An AI agent or voice agent that talks to customers and works across several tools sits at the high end.
Most small businesses start with one or two workflows for $999–$3,500, after a free automation audit, and earn that back within two to three months in saved staff hours.
This guide breaks down 2026 prices by project type, in US dollars, British pounds, Canadian dollars and UAE dirhams. It also covers what pushes the price up or down, the running costs nobody mentions upfront, and how to tell whether automation will pay for itself in your business.

| Multi-step workflow | One process across 3–5 tools, with AI steps, error handling and alerts | $3,500–$8,000 | £2,600–£6,000 | CA$4,800–CA$11,000 | AED 12,850–29,400 |
| AI agent | Chat, support or sales agent that uses your tools and data and escalates to a human | $3,500–$12,000 | £2,600–£9,000 | CA$4,800–CA$16,400 | AED 12,850–44,000 |
| Custom AI software | A dedicated system or internal tool built around your business | from $12,000 | from £9,000 | from CA$16,400 | from AED 44,000 |
For comparison, agencies in 2026 commonly quote $1,500–$5,000 for a single workflow and $5,000–$20,000 for multi-system builds. Small-business AI agent pilots typically run $5,000–$15,000, and AI audits $2,000–$8,000.
AI automation cost in the UK, Canada and the UAE
Prices are the same work in each market; only the currency changes. We quote and invoice in your currency, with a fixed price agreed before the build starts.
- UK: a single workflow costs £750–£2,600, an AI voice agent £1,900–£6,000 and an AI agent £2,600–£9,000. Workflows that handle personal data are designed around UK GDPR, and marketing emails and texts around PECR. See AI automation in the UK.
- Canada: a single workflow costs CA$1,370–CA$4,800 and an AI agent CA$4,800–CA$16,400. Quebec projects include French versions of every message and a Law 25 privacy review. See AI automation in Canada.
- UAE: a single workflow costs AED 3,670–12,850 and an AI agent AED 12,850–44,000. Most UAE projects run on WhatsApp, so budget for WhatsApp Business API message fees as a running cost. See AI automation in Dubai and the UAE.
What makes AI automation cost more or less
The price depends less on how much AI is involved and more on how many systems it touches and what happens when something goes wrong.
- Number of tools connected. Two tools with ready-made connectors (a form and a CRM) are quick. Every extra tool adds setup, testing and things that can break.
- Custom integrations. Tools without a standard connector, such as an older booking system or an in-house database, need custom code. This is usually the biggest cost driver.
- AI decision-making. Moving data from A to B is cheap. Asking AI to read an email, decide what it is and act on it needs prompt design, guardrails and testing with your real data.
- Customer-facing or internal. Anything that talks to your customers, like a chat or voice agent, needs more testing, a clear handoff to a human and a tone that matches your brand.
- Error handling. A production system retries failed steps, logs what happened and alerts you. Cheap builds often skip this, which is why they break quietly a few weeks later.
- Data quality. Messy spreadsheets or duplicate CRM records need cleaning before automation can rely on them.
- Compliance. Healthcare, finance and legal data adds privacy requirements, such as HIPAA in the US or GDPR in the UK and EU, which adds work.
Monthly running costs
The build is a one-time cost, but every automation has small ongoing costs. Budget for them from day one.
| Cost | Typical monthly range (USD) | What it covers |
|---|---|---|
| Automation platform | $0–$100 | n8n, Make.com or Zapier plan; self-hosted n8n can be close to free |
| AI model usage | $5–$150 | OpenAI or Anthropic API calls; most small businesses spend under $50 |
| Voice agent minutes | $50–$250 | Calls at about $0.05–$0.25 a minute, including phone line and voice |
| Maintenance and support (optional) | $350–$1,200 | Monitoring, fixes when a connected app changes, small improvements |
You don't need a support plan for a simple workflow. For anything customer-facing, or anything your revenue depends on, it is usually worth it: apps change their settings and connectors, and someone needs to notice when a step fails.
How much does it cost a small business to set up an AI agent?
In US dollars, a small business AI agent costs $3,500–$12,000 to build and about $5–$250 a month to run, plus $50–$250 in call minutes if it answers the phone. The build covers designing what the agent can do, connecting it to your tools (CRM, inbox, calendar, Google Sheets) and testing it on real cases. Running costs are the AI model ($5–$150 a month for most small businesses) and the automation platform ($0–$100).
To budget it, start with one task the agent will own, such as answering enquiries or triaging email. Count the hours a week it takes today, multiply by your hourly cost, and compare that with the build fee. In the worked example below, a $2,500 build paid for itself in about 2 months.
AI automation costs for enterprise
Enterprise AI automation usually starts where small-business pricing ends, from about $15,000 per project. The automation itself isn't much harder. The cost comes from what surrounds it:
- security reviews and vendor onboarding
- single sign-on, role-based access and audit logs
- data residency and compliance (GDPR, UK GDPR, PIPEDA, UAE PDPL)
- connections to ERPs and legacy systems without modern APIs
- uptime commitments, documentation and staff training
A practical way in is a paid pilot: one process, one department, 4–8 weeks, with success measured before you roll it out further.
Will it pay for itself? A worked example
The simplest way to judge automation is payback time: how many months of savings it takes to cover the build.
Payback (months) = Build cost ÷ (Monthly savings − Monthly running cost)
Example: a real estate agency's lead follow-up. An assistant spends about 15 hours a week copying portal and website leads into the CRM, sending first replies and booking viewings. Their time costs about $25 an hour.
- Time saved: 15 hours × $25 × 4.33 weeks = $1,624 a month
- Build: single multi-tool workflow, $2,500
- Running cost: $30 tools + $350 support = $380 a month
- Payback: $2,500 ÷ ($1,624 − $380) = about 2 months
- First-year net saving: $19,488 saved − $7,060 spent = $12,428
That doesn't count the leads that no longer go cold. Replying in one minute instead of a few hours often matters more than the hours saved.
A useful rule: if an automation can't pay for itself within 6 months, start with a smaller, higher-volume process instead.
DIY, freelancer or agency?
DIY is cheapest in cash and most expensive in time; an agency costs more upfront but delivers a system that keeps running.
| Option | Typical cost | Best for | Watch out for |
|---|---|---|---|
| Do it yourself | $20–$50/month in tools, plus 15–25 hours of your time | Simple internal tasks with 2–3 steps and low risk if they fail | Your time; nobody notices when it breaks |
| Freelancer | Lower than an agency, varies widely | One clearly defined workflow | Little documentation; support ends when they move on |
| Agency | $999–$15,000 build, optional monthly support | Customer-facing systems, several tools, anything revenue depends on | Overpriced packages; ask for a fixed quote and payback estimate |
Whichever you choose, insist on three things: the automation lives in your accounts, you get a written explanation of how it works, and failures send an alert to someone.
How AI automation agencies price their work
Most AI automation agencies use one of four pricing models. Knowing which one you're being quoted makes proposals much easier to compare.
- Fixed project price: one price for a defined build, such as $999–$3,500 for a single workflow. Best when the scope is clear.
- Setup fee plus monthly retainer: a build fee, then $350–$1,200 a month for monitoring, fixes and small changes. Agencies call this recurring revenue their MRR; for you it buys a team that keeps the automation running.
- Per-workflow or per-agent pricing: a set price for each automation, so you can start with one and add more later.
- Hourly or day rate: common with freelancers and for audits. Cheap to start, but the total is hard to predict.
Ask every agency the same three questions: what's included after launch, who pays the software and AI usage bills, and what a change request costs. Those answers explain most of the difference between a $2,000 quote and a $6,000 one.
How to keep your automation costs low
- Start with one high-volume task. Pick the process your team repeats most often, like lead follow-up, invoice entry or order updates. Small wins fund the next project.
- Write down the process first. Ten minutes listing each step, tool and exception can cut hours of discovery from the quote.
- Use the tools you already pay for. Most CRMs, Shopify and Google Workspace connect to n8n or Make.com without custom code.
- Keep humans in the loop at first. Have the AI draft and a person approve for the first few weeks. It's cheaper than building perfect guardrails on day one.
- Choose self-hosted n8n for high volume. It avoids per-task fees that grow with every run on some platforms.
- Ask for a fixed price. A clear scope with a fixed quote protects you from hourly billing surprises.
