An n8n AI agent that manages inventory in Google Sheets through chat
The client kept its stock in Google Sheets and wanted to keep it there. We built an AI agent in n8n that lets the team ask about stock and record changes in plain language, while the sheet stays the single source of truth.

Why the team needed an inventory assistant
Checking stock meant opening the inventory spreadsheet, finding the right row and reading across the columns. Recording a change meant editing cells by hand. Questions like "how many do we have left?" interrupted whoever knew the sheet best, and manual edits occasionally went into the wrong row.
The client didn't want new inventory software. They wanted an easier way to use the sheet they already had.
How the n8n AI inventory agent works
- 01
Chat trigger
The team types a question or instruction into a chat window, such as asking for the stock level of an item or recording new stock.
- 02
AI agent
An n8n AI Agent with an OpenAI chat model works out what the person wants and which tool to use.
- 03
Search inventory tool
A Google Sheets tool reads the inventory sheet so the agent answers from live data, not from memory.
- 04
Update and append tool
A second Google Sheets tool updates an existing row or adds a new one when the team records a change.
- 05
Conversation memory
Window buffer memory keeps the last few messages, so follow-ups like "and the blue one?" make sense.
What changed for the team
- Anyone on the team can check or update stock in plain language, without knowing the sheet's layout.
- Answers come from the live sheet, so they match what's actually recorded.
- Changes are written by the workflow to the right row, not typed in by hand.
- The business kept Google Sheets, so there was no new software to buy or learn.
