The short answer
Speed to lead is the time between a buyer, seller or tenant enquiring and someone from your agency actually speaking to them. In real estate it’s often the deciding factor, because people enquire on several listings at once and work with whoever responds first.
Getting it down to minutes takes three things working together:
- Instant routing: every enquiry reaches the right agent the second it arrives.
- An instant first contact: a call or WhatsApp message within a minute, even after hours. An AI voice agent can do this.
- A clean handover: the agent gets the lead’s answers and a booked viewing, not just a phone number.
Why the first few minutes matter
The research behind speed to lead is older than most people realise, and it’s never been overturned.
- A Harvard Business Review audit of 2,241 US companies found that firms contacting a lead within an hour were nearly seven times more likely to qualify it than firms that waited even an hour longer. Only 37% responded within an hour, and the average response took 42 hours.
- A study by MIT and InsideSales found that the odds of qualifying a lead were 21 times higher when the first call came within 5 minutes rather than 30.
In property, the stakes are higher than in most industries. Dubai alone recorded AED 431 billion in real estate transactions in the first half of 2025, across more than 125,000 deals. Enquiries arrive around the clock, many from overseas buyers in other time zones, and the agent who calls first usually gets the viewing.
Where agencies actually lose time
When we look at how an agency handles leads, the delay is rarely the agent being slow on the phone. It’s everything before the call:
- Unassigned leads. The enquiry lands in a shared inbox or CRM, and nobody owns it until someone sorts it.
- The wrong agent. The lead asked for a specific agent or area, but it went to whoever was free.
- After hours. Evening and weekend enquiries wait until the next working morning.
- Busy agents. The right agent is at a viewing, driving or on another call.
- Portal sprawl. Leads from Property Finder, Bayut, Dubizzle, Zillow, your website and ads all arrive in different places and formats.
Fix the first two with routing, and the last three with an instant first contact.
Step 1: route every lead the moment it arrives
Routing is the cheapest speed-to-lead fix and the one most agencies skip.
From a client build: a seven-agent real estate brokerage asked enquirers on its website form which agent they wanted. Someone in the office used to read each form and assign the lead by hand, so leads waited whenever the office was busy, and some sat with no owner at all.
We replaced that with a GoHighLevel workflow. The form submission triggers a condition with one branch per agent. Each branch tags the contact and assigns it to that agent the instant the form is sent. A fallback branch flags any lead that doesn’t match an agent, so nothing goes unowned. Adding a new agent is one extra branch.
You can route by whatever matters to your agency:
| Route by | Example |
|---|---|
| Requested agent | “Who would you like to speak to?” form field |
| Listing | Enquiries on a listing go to its listing agent |
| Area | Dubai Marina leads to the Marina team |
| Language | Arabic speakers to Arabic-speaking agents |
| Round-robin | Even split when there’s no preference |
Most CRMs agents use, including GoHighLevel, Follow Up Boss and HubSpot, can do this natively or with a small n8n or Make.com workflow. For Dubai portals, see Property Finder lead automation.
Step 2: make first contact within a minute
Routing gets the lead to the right person. But if that person is at a viewing, the lead still waits. This is where an AI voice agent helps.
An AI voice agent calls the lead back within a minute of the enquiry, day or night. A typical call:
- Introduces itself as the agency’s assistant and confirms the listing they asked about
- Asks the questions your agents would ask: buy or rent, budget, areas, bedrooms, timeline, cash or mortgage, and whether they’re already working with another agent
- Answers basic questions about the listing and the area
- Offers real viewing slots from the assigned agent’s calendar and books one
- Sends a WhatsApp or SMS confirmation, and transfers hot leads live to an available agent
For leads who prefer to chat, the same flow can run on WhatsApp. That’s often the better first touch in Dubai; see our WhatsApp AI agent for Dubai real estate.
Step 3: hand over a qualified lead, not a phone number
Speed is wasted if the agent starts from zero. Every first contact should leave three things in your CRM:
- The lead’s answers: budget, area, timeline and financing
- A summary and a recording or transcript of the call or chat
- The next step: a booked viewing, a scheduled callback or a nurture sequence
The agent then opens the conversation already knowing what the buyer wants, which matters as much as how fast the first contact happened.
The rules: calling leads in the UAE and the US
Calling leads quickly, by a person or an AI, is legal in both markets, but the rules are strict.
In the UAE, Cabinet Resolution No. 56 of 2024 on telemarketing took effect on 27 August 2024. For marketing calls it requires calls only between 9am and 6pm, numbers registered to your company’s trade licence, telling the person the call is recorded, and no calls to numbers on the Do Not Call Registry. Fines go up to AED 150,000. Calls the consumer asked for are treated differently from cold calls, but we still set AI agents to respect calling hours and record every call.
In the US, the FCC ruled on 8 February 2024 that AI-generated voices count as “artificial” voices under the TCPA. You need the person’s prior express consent before an AI voice calls them, so add a consent checkbox to your forms. The call must identify who’s calling, and marketing calls must offer a way to opt out.
The safe rule in both markets: only call people who enquired and agreed to be contacted, never bought lists. This is general information, not legal advice; check your setup with a lawyer in your market.
What it costs
| Part | Typical cost (USD) |
|---|---|
| Lead routing workflow | Usually within a single-workflow budget; see our pricing guide |
| AI voice agent setup | $2,500–$8,000 one time |
| AI call minutes | About $0.10–$0.25 a minute; 300 leads at 3 minutes each is roughly $90–$225 a month |

A speed-to-lead checklist
- Every lead source (portals, website, ads, WhatsApp) lands in one CRM automatically
- Every lead gets an owner the moment it arrives, with a fallback for unmatched leads
- First contact happens within a minute, including evenings and weekends
- Every first contact records the lead’s answers and a next step
- Calling hours, consent and recording rules for your market are built in
- You measure average response time each month
